Job description summary:

The payroll & benefits specialist is responsible for calculating and processing payroll and maintains time and attendance records. Ensures accuracy of all company payrolls; including federal, state and local regulations. Computes and generates special pay considerations, including taxable fringe benefits, allowances, garnishments, levies, etc. Evaluates and updates ADP HRIS system, as it relates to Time & Attendance, Time Off, Payroll functions. Familiar with standard payroll concepts, practices and procedures. Performs a variety of benefit  and human resources administrative support functions.

  • Compute payroll hours from Time & Attendance software and time cards
  • Compute withholdings and deductions from paychecks
  • Compute and generate special pay considerations, including taxable fringe
  • Compute payroll hours from Time & Attendance software and time cards

  • Compute and generate special pay considerations, including taxable fringe    benefits, allowances, garnishments, levies, etc.
  • Generate paychecks and reports utilizing payroll provider service
  • Ensure accuracy of all company payrolls; include all geographical locations of corporate, manufacturing, distribution centers and sales
  • Serve as company liaison with ADP for issues related to timely and accurate processing of Payroll, Time & Attendance and Time Off; including all tax withholding
  • Identify problems with all company payrolls, trouble shoot solutions and implement processes to rectify issues
  • Prepare various payroll reports as requested; including weekly 401K contribution report for Trustee, and weekly, quarterly, yearly scheduled payroll reports
  • Evaluates and updates ADP HRIS system, as it relates to Time & Attendance, Time Off, Payroll functions.
  • Provide training to other HR staff and as required to supervisors and employees on payroll and time & attendance practices and compliance requirements
  • Research, develop and write internal communications to employees, supervisors and management regarding company practices, procedures, and compliance requirements for pay, time & attendance, taxation, etc.
  • Ensure all company pay systems and practices strictly adhere to local, state and federal regulations; make recommendations when company changes are required for compliance
  • Respond to employee’s questions regarding payroll issues
  • Maintain Time & Attendance and Time Off records within the HRIS system
  • Perform quarterly and month-end duties including journal voucher preparation, various reporting and reconciliation requirements
  • Perform year end duties, including W-2 reconciliation
  • Assist with Administration of employee benefits programs, including group medical, dental, vision, COBRA and group life.
  • Provides required leave of absence applications and manage files for duration of leave and through the return to work process
  • Ensures accuracy of all benefit enrollments and life status changes record in the HRIS to provide vendors with the accurate eligibility information.
  • Monitors/audits all benefit-related payroll deductions and adjustments, ensuring accuracy and timeliness.
  • Maintain company personnel files for all geographic locations and divisions
  • Respond to verification of employment requests
  • Other duties as assigned

Experience and skills:

  • High school diploma required
  • FPC or CPP certification preferred
  • Minimum of three (3) years payroll experience; 5+ years payroll and ADP HRIS experience preferred
  • Experience in accounting or finance a plus
  • Knowledgeable of payroll regulations and best practices
  • Experience with employee benefits administration
  • Ability to maintain high level of accuracy
  • Excellent computer skills
