Position Description:

The Senior Associate position supports four Executive Directors and their direct reports in our Human Health and Hospital Specialty Business Unit. The position will be based in North Wales. We partner with our business colleagues to ensure that we are equipped to act with integrity in the execution of our business.

The primary activities of the Senior Associate position include and are not limited to the following:

  • Coordinate and perform general administrative assistance and manage multiple tasks while understanding the project principles and technical skills related to own work assignments. Work priorities and activities are performed with little supervision.

  • Schedule meetings and prioritize; manage complex calendars for team.

  • Coordinate content, agenda and meeting planning for joint team staff meetings.

  • Schedule travel and process meeting registrations.

  • Prepare expense reports in Concur Expense and ensure compliance to meeting expense guidelines.

  • Support department procurement needs including purchase orders, invoice payment and expense tracking.

  • Enter monthly compliance training messages in tracking tool; coordinate timely completion and submission of monthly Ethics and Compliance Office (ECO) Highlights report, Goal Tracker and Training Tracker for executive directors’ review.

  • Support field force monitoring activities for compliance officers; create field observation records in recording system and submit completed observation forms.

  • Support the hiring process of new department employees by assisting with job postings in Workday, scheduling internal and external candidate interviews and onboarding new hires.

  • Coordinate special projects within the division/department.

  • Cover for other administrative assistants as needed.

  • Uphold a strict level of confidentiality.

The primary skillsets of the Senior Associate position include and are not limited to the following:

  • Analytical ability to understand the project principles and technical skills related to work assignments.

  • Proactive problem-solving skill and creativity in order to coordinate and effectively perform multiple tasks and prioritize a large number of simultaneous assignments.

  • Extraordinary attention to detail, independent judgment and the ability to execute work priorities and activities with little supervision.

  • Ability to interact professionally with internal and external clients both onsite and remotely to maintain workflow.

  • Communication skills and professionalism must be at a level to effectively interact with Company executives at all levels of the organization, including Executive Vice President and Senior Vice President.

Education Minimum Requirement:

  • High School Diploma.

Required Experience and Skills:

  • Minimum of (8) years Administrative Assistant experience.

  • Minimum of (5) years administrative experience supporting Executives.

  • Advanced computer skills using (MS Outlook, Word, Excel, Power Point) and operation of other peripheral devices.

  • Demonstrated experience scheduling and coordinating complex, multi-leg domestic and international travel. Experience processing Visa/Passport Applications.

  • SAP/Concur or related system experience processing Expense Reports, Purchase Orders, Payment Requests. Vendor Add Forms, as well as running reports.

  • Event Planning/Coordination experience.

  • Outstanding communication and people skills.

  • High degree of professionalism and sound judgment.
