Position Description

The Conference Concierge & Scheduling Associate plays a vital role in keeping the Conference Center running smoothly, assisting with the management of daily operations. This business professional must be able to multi-task in a fast-paced environment where organizational expertise is essential. Acting as an ambassador of first impressions, greeting conference attendees, prospective and existing customers, guests, vendors and visiting employees is an essential and vital role in this world class, conference showplace. Demonstrate ICARE and ILEAD principles when communicating with internal and external participants.

Provide courteous, personalized, attentive, sincere, consistent guests service by responding promptly and efficiently to inquiries, requests, and complaints using guest service skills, exhibiting hospitality while striving to exceed guest expectations.

Key Responsibilities

  • Schedule management for the McKesson Conference Center meeting requests
  • Maintain continuous support to the Conference Services Managers during the pre-planning stages of each event
  • Provide administrative support to Convention Services Mangers during the pre-planning stage of specific events.
  • Preparing BEOs, room setups, air travel reports and participant attendee lists for appropriate CBRE facility and security teams. Confirm reservations for offsite events and dinner reservations, when applicable.
  • Arrange logistics to ensure daily operations of the McKesson Conference Center are running smoothly
  • Work in partnership with the Conference Services Manager to ensure all event details are executed for each individual event.
  • Manage all onsite details in collaboration with the CBRE facilities team, catering manager, security, and outside vendors (i.e., transportation companies).
  • Resolve difficult or unusual problems arising with participants while maintaining first-class guest relations and demonstrating outstanding hospitality through the corrective action taken.
  • Provide information to all participants about the local Las Colinas area
  • Identify ways to improve the efficiency and effectiveness of our service to guests. Attend conference center staff and planning meetings.

Minimum Requirements

  • 2 years of relevant experience

Critical Skills

  • Outlook calendar management skills
  • Proficiency with Microsoft Word, Excel, PowerPoint
  • Must be comfortable interacting with executives and customers
  • Demonstrate confidence, professionalism, responsiveness, and exceptional customer service skills
  • Excellent project and time management skills to successfully navigate and complete multiple tasks at once
  • High degree of integrity and confidentiality
  • Superb work ethic and an established work history
  • Ability to work independently
  • Event or hospitality experience

Additional Knowledge & Skills


  • Experience in hospitality industry
  • Experience in healthcare industry
  • Knowledge of working onsite at conventions and conferences
  • 5+ years’ experience in customer experience
  • 5+ years’ CVENT event management experience
  • 5+ year’ catering management software


  • Bachelor’s degree or equivalent experience

Physical Requirements / Working Conditions

  • Must be able to lift and transport up to 40 lbs.
  • Work involves physical exertion and/or physical strain, including pushing, carrying, and lifting. May require standing or sitting for long periods of time.
  • Travel up to 20%
