Summary, Focus and Purpose
The Congress Operations Senior Specialist will play an integral role within the Global Medical and Value Capabilities (GMVC) Team within Global Medical and Scientific Affairs (GMSA) and is responsible for the preparation and execution of key deliverables for major medical congresses across therapeutic areas in order to ensure that priority congress objectives (pre-congress, on-site and post congress) are met. The candidate should be adept at managing competing priorities, with responsibility for handling oversight, details and follow-through for congresses attended by key scientific stakeholders from around the world and have a keen eye for detail and organization.
The Senior Specialist drives the strategic plan for executing an optimal congress experience for a variety of critical activities including: Closed Research Updates, Insight Huddles, Medical Workshops, Field Medical Congress Logistics, Research Division De-Briefs, Scientific Leader Engagement, Scientific Congress Meetings, as examples. The role requires the appropriate utilization of resources to manage and execute important tasks in partnership with key therapeutic area stakeholders (GMSA, Clinical Development, Commercial) in order to align on a one company plan for each congress. It is essential the Senior Specialist influence without direct authority and have the ability to work independently. Ensure congress financial tracking and metrics, vendor management, ensuring that the overall timelines and objectives are met by facilitating the creation, maintenance and approval of all deliverables, including up-to-date detailed project and risk plans.

Align GCD, GMSA and HH and other partners to ensure a “one company” experience for scientific leaders at major congresses
Lead the execution of other deliverables at key congresses before, during and after the congress
Ensuring participants have appropriate background materials (data, FAQs, schedules, etc.)
Collaborate with internal stakeholders within Global Scientific Training (GST) to ensure training on data (ours and competitor) is available prior to and during congress in alignment Global Scientific Content (GSC)
Plan insight huddles in conjunction with medical affairs team for collection of key insights during the congress
Manage & update project plan to reflect project timelines: planning calendars, timeline for strategic planning, critical path assessment, milestone, risk assessment and project deliverables
Provide custom reporting and metrics as requested by stakeholders including spend tracking; prepare and review estimates and invoices as part of the budget process
Work closely with stakeholders to ensure program objectives are executed to realize congress objectives
Partner with Travel Meetings and Cards (and approved vendors) to ensure that all sourcing activities for the congress (room block management, meeting room sourcing and other related activities) are appropriately procured in alignment with GMSA needs
Travel to congresses in order to manage approved vendors and oversee congress activities on site
Maintain up-to-date knowledge of and ensure compliance with our company policies and guidelines, particularly those that relate to FDA, ACCME and other health agency regulations, as well as professional societies' rules
Leverage latest technology in order to improve internal and external collaboration
Maintain and manage our Research Division Congress Portal site, Congress Meeting Tracker, One Medical Gateway, GMSA weekly communications
Develop and implement congress communications plan in alignment with stakeholders
Maintain proactive, positive, open lines of communication to ensure understanding of expectations and leader satisfaction
Conduct regularly scheduled status meetings with stakeholders leading up to each congress through program execution and post-congress closeout
Regular communication with the project team to determine project status updates
Fully engage in congress kick off meetings, briefings and congress de-brief
Coordinate correspondence and communication including: distribution of invitations to internal congress-related meetings, monitor and maintaining attendance lists, creating and maintaining informational database for current congress programs (activity charts and status reports), maintaining and updating client (internal and external) profiles, and triaging attendees' inquiries and correspondence
Plan, manage and execute on novel projects (e.g., implementation of new processes, creation of useful tools) that have been identified to improve and evolve the ways in which our company executes on its congress vision
Develop, update and track against a project plan to ensure timely deliverable development and to minimize project risks
Regularly communicate status, including risks and issues, of projects to relevant internal and external stakeholders, as relevant
Bachelor of Arts or Science
Required Experience | Knowledge | Skills
Three years pharmaceutical experience in Medical/Scientific Affairs or Congress and Meeting Planning
Travel required: Up to 25% (International and Domestic)
Strong project management skills including principled verbal and written communications, facilitation, negotiations/conflict resolution, and resource management skills
Proven problem-solving and analytical skills
Solid MS Project, Excel, Word and PowerPoint skills
Track record as a deadline-oriented self-starter with frequent outreach to teams to maintain project timelines
Excellent people skills, leadership qualities and ability to build strong relationships with teams / executives, including experience leading cross-functional teams in high-visibility projects with multiple deliverables
Managed at least one project that had multi-location teams
Preferred Experience | Knowledge | Skills
Experience with change management
Relationship management and networking: strong integration into headquarter network and ability to build productive relationships with all parties
International experience in a global company
Experience in meeting planning, especially related to meeting planning at congresses
Project management certification/Meeting planning certification
