Job Summary
The Executive Administrative Assistant / Office Manager provides critical support to the Executive and Senior Management Team of Bramco and Brandeis. Undertakes administrative functions to ensure that the Sales and Operations are carried out effectively and efficiently. Manages the Corporate Office by purchasing and maintaining office supplies inventory and daily activities.
Responsibilities
- Plan internal and external events and outings
- Act as the point of contact between executives and employees/clients/suppliers
- Create regular reports and update internal databases
- Make travel arrangements
- Coordinate daily calendars of executive and senior managers
- Manage phone calls and emails
- Respond promptly to managers’ queries
- Maintain and purchase office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; evaluating new office products; placing and expediting orders for supplies; verifying receipt of supplies.
- Facilitate internal communication (e.g. distribute information and schedule presentations)
- Suggest more efficient ways to run the office and troubleshoot malfunctions
- Other support and/or projects as assigned
Qualifications
- High school diploma required; college degree preferred
- 5 years of experience as an Executive Administrative Assistant, or similar role
- Knowledge of office procedures, and equipment
- Solid experience with office management systems, and MS Office including Outlook and PowerPoint
- Strong communication skills (via phone, email and in-person)
- Experience exercising discretion and confidentiality with sensitive company information
- Excellent organizational skills with an ability to think proactively and prioritize work
- Must be able to pass a background, physical, and drug screen
