Job Responsibilities:

  • Ensure client satisfaction with site leadership team by providing a seamless interface of the client real estate organization and facilities through leadership, responsiveness and creativity that develops and maintains a positive relationship
  • Acts collaboratively to solve problems and resolve spontaneous and unique situations with professionalism and service orientation.
  • Assist with researching, analyzing and reporting budget variances.
  • Helps support cost saving targets to contribute to exceed or achieve account savings goals.
  • Assist Facility Manager with tactical planning for the facilities team goals and objectives.
  • Assists with receiving and dispatching of work requests to technical staff, vendors, or other services providers.
  • Resolves problems associated with all building services including janitorial, food service, coffee services, parking, vending, security, conference rooms, furniture as well as interior and exterior furnishings, fixtures and equipment.
  • Provides support for meetings, as needed, and directed.
  • Assists with the coordination and scheduling of maintenance activities.
  • Provides facility specific assistance as needed or requested.
  • Ensure delivery of committed services and overall satisfaction with JLL performance.
  • Reads and understands the applicable Service Level Agreements, helps achieve the Key Performance Indicators and scores favorably on the client satisfaction surveys.
  • Ensures appropriate follow up with customers.
  • Seeks to continuously improve processes, systems and overall client satisfaction.
  • Provides direction/information to vendors, facilities staff and service providers as required, to ensure excellent coordination/execution of work within client environment with minimal disruption, as needed.
  • Ensures third party supplier orders are created and issued in a timely manner. Ensure completed work is recognized as completed in the financial systems and interact with suppliers on billing issues. Interact with Finance for month end and year end closes and finical reporting.
  • Monitor and report to the Facility Manager on the facility operation, through both direct employees and third-party service providers, to ensure that all KPI’s and SLA’s are met or exceeded
  • Answer all calls in a timely manner, according to protocol, and direct to requested departments and individuals.
  • Greet and direct all visitors, accordingly, providing the necessary orientation to all visitors, employees, and contractors.
  • Provide and manage security access badges for visitors and employees.
  • Enter or process data, purchase orders, invoices, requests, or information, as required.
  • Perform clerical or administrative duties, as needed, such as assisting with filing and database systems, attendance records and other related office support projects.
  • Support the JLL Facilities Manager with administrative projects.
  • Respond to client and general inquiries and escalate complex queries to the appropriate parties.
  • Maintain a clean, organized, and safe workspace.
  • Comply with all policies and procedures of JLL and its client.

Requirements

  • High School Diploma or GED.
  • Minimum 2 years’ experience as a receptionist, Administrator or in and office/business environment
  • Associates Degree preferred, but not necessary
  • Excellent customer service and relationship building skills
  • Strong organizational, interpersonal and communication skills
  • working knowledge of Microsoft Word, Excel, Power Point, Outlook, Mapping and database software including CMMS Programs
  • Ability to establish priorities and meet deadlines
  • Team player with motivated work ethic, and excellent interpersonal and organizational skills

Physical Requirements

  • Must be able to hold and grip objects, bend, squat, kneel, climb, crawl, and reach overhead.
  • Must be able to work in awkward positions that require a twist and turn of torso.
  • Push and pull up to 50 pounds.
  • Distinguish primary colors.
  • Subject to periods of prolonged standing.
  • Perform work on ladders, lifts, and scaffolding, including on roofs.
  • This is largely a sedentary role; however, some filing is required. This would require the ability to lift files, open filing cabinets and bend or stand as necessary. This role may also escort visitors and contractors to designated locations through out the facility.
