The company is currently seeking an Administrative Assistant.


Position Summary/Primary Purpose

Perform accounting and clerical duties related to the efficient maintenance and processing of Finance Department reports and transactions. Assists the Finance department by sorting mail, filing, answering phones, and restocking supplies.


Major Areas of Responsibility

  • Pay invoices by verifying transaction information; scheduling and preparing wire/ACH disbursements; obtaining authorization for payment
  • Facilitate approvals for new vendor master requests and changes
  • Coordinate expense reports using Concur and create bi-weekly load file
  • Maintain account ledgers by posting account transactions
  • Administrative duties for travel AMEX card; issuance and cancellation of cards; reconciling statements; troubleshooting cardholders’ issues
  • Reconciliation of all purchase credit card accounts and preparation of monthly load file
  • Verify accounts by reconciling statements and transactions
  • Resolve account discrepancies by investigating documentation; issuing stop payments, payments, or adjustments.
  • Complete daily filing
  • Provide general clerical support including the ordering of office supplies for the department
  • Maintain confidential information
  • Develop and maintain positive vendor relationships

Basic Broad Knowledge

  • Computer Programs— Strong working knowledge of SAP, Concur, Microsoft Excel, Word, and Outlook
  • English Language - Knowledge of structure and content of English language including meaning and spelling of words, rules of composition, and grammar.

  • Ability to multi-task and solve problems
  • Possess intellectual agility; readily accepts challenges of unfamiliar task.
  • Speaks and writes clearly and effectively even when relating complex information. Expresses ideas in a concise and organized manner.
  • Strong organizational, planning and documentation skills.
  • Dependable and trustworthy
  • Typing speed/ 40WPM. Word Per Minute (WPM) is measured by calculating how many words (5 characters/keystrokes = 1 word) you can type in 1 minute. 

Education & Experience

  • Associates degree is preferred.
  • 1 – 5 years’ experience financial administrative assistant experience. 
  • Advanced knowledge of MS Office Suite (Excel, Word, and Office)
  • SAP & Concur knowledge and experience preferred.

Demonstrated Physical Abilities

Remain stationary for 50% of the time; move/traverse throughout the office to access file cabinets and office equipment; operate a computer and other productivity machinery; inspect documents; communicate with others through talking/hearing; read/identify/assess forms and correspondence.
