Payroll Coordinator

SUMMARY:

This position will support the Payroll department. Responsible for the administration of the company’s time and attendance and payroll systems for the United States and Canada.  Coordinate all aspects of payroll and process in an accurate and timely manner. 

DUTIES AND RESPONSIBILITIES:

  • Set up new employees in our payroll system and follow up with emails on accessing our payroll portal
  • Oversee and adjust employee’s timecards on a daily basis
  • Assist employees with payroll, time-off and 401(k) related questions
  • Coordinate and input employee maintenance including rate changes, payroll deductions, personnel changes, terminations, etc. 
  • Monitor employees vacation/sick time and run quarterly reports for supervisors
  • Set up direct deposit accounts
  • Manage and maintain all liens and garnishments
  • Prepares and administers payroll checks for biweekly and semi-monthly distribution
  • Retrieve Fidelity Feedback Files and add all in 401k contributions and 401K loan deductions for employees
  • Download expense reports from Concur and upload into payroll; Set up new employees in our Concur Expense System and email instructions on utilizing the system
  • Set up new accounts with agencies and payroll facilitator for state and local taxes keeping in compliance
  • Researches discrepancies of payroll information and/or documentation for the purpose of ensuring accuracy and implementing corrective measures as necessary
  • Cut manual checks and maintain manual check register
  • Work on payroll projects in conjunction with the Payroll Lead
  • Open and distribute all department mail
  • Download all payroll/tax reports on the payroll drive
  • Verify and investigate discrepancies on UltiPro debit invoices
  • Complete all requests for Verification of Employment
  • Reset passwords for security access to employee information
  • Maintains personnel files including, scanning and uploading employee documentation
  • Other duties as assigned
  • Reports to the VP of Finance & Accounting

SKILLS AND EXPERIENCE REQUIRED:

  • 3+ years Payroll experience required; degree / certificate highly preferred
  • Positive interpersonal communication skills, self-motivation and self-discipline
  • Ability to work with information of a confidential nature
  • Accuracy and attention to detail required
  • General payroll, bookkeeping, record keeping and filing procedures
  • Strong technological skills including MS Office (Word, Outlook, Excel, PowerPoint); UKG (aka Ultimate Software or UltiPro) experience a plus
  • Strong verbal and written communication skills
  • Knowledge of all applicable state and federal laws and guidelines preferred; experience with Canadian payroll and provincial/federal laws preferred
  • Experienced working in a multi-location and multi-state environment is preferred

  • Strong sense of urgency and accountability
  • Work confidentially with discretion on privileged and sensitive information
  • Work under pressure of deadlines while maintaining a professional attitude and calm demeanor
  • Accuracy and attention to detail required
  • Compensation Range is $50k-$57k / Year. 

REMOTE/HYBRID WORK REQUIREMENTS:

In order to work remotely the Employee Must:

  • Reside in the United States.
  • Have access to high-speed reliable internet (with a minimum of 50 mbps for download speed and 50 mbps for upload speed).
  • Have a quiet, dedicated workspace free from distraction.
