Summary:

Due to growth from acquisitions, we are adding a Payroll Supervisor position. This role is responsible for overseeing the shared service payroll staff and processing of all Company payrolls, including union payrolls, related deductions, general ledger entries, tax compliance, wage orders, and audits, in a fast-paced, multi-tasking, motivated team environment ensuring employees are paid correctly and on time.

  • Supervise and prioritize work activities to assure deadlines are met effectively and efficiently
  • Oversee union payroll process, including coordination with HR and Business Units on all union payroll matters.
  • Assure all documented workflows and work instructions are up-to-day and followed
  • Create and implement new processes as needed for payroll efficiency
  • Oversee payroll cross-training and development among staff
  • Assure pay processing deadlines are met
  • Review and approve weekly/bi-weekly/semi-weekly scheduled pay runs
  • Assure Federal, State & Local Tax report filing deadlines are met
  • Research tax requirements to ensure staff is up-to-date with current knowledge of city, state, provincial, local, and federal legislation affecting payroll.
  • Approve payroll journal entries for payroll distributions
  • Create, review, and distribute various reports to support financial projections, audits, HR reviews, and compliance issues
  • Work closely with internal and external auditors
  • Perform standard and ad-hoc analyze
  • Identify, develop, and implement continuous process improvement initiatives.
  • Provide positive and continued support to employees, members of management, and external agencies regularly. Responding to and resolving any inquiries regarding paychecks or payroll reporting.
  • Exercises extreme sensitivity to the issues of confidentiality of employee/employer data and maintains absolute confidentiality of personal data.
  • Performs and assist with payroll-related duties and/or projects as needed.

Requirements:

  • Associate’s degree in Accounting, Business Administration, or related field and/or 5+ years proven track record in managing and supervising a multi-state payroll high volume environment
  • End-to-end payroll processing including knowledge of payroll tax legislation and regulations
  • Experience with California state payroll compliance, wage and hour regulations, and processing preferred
  • Union payroll processing with a high-level understanding of reporting accuracy, ability to balance and reconcile differences in a tight time frame prior to transmitting reports and payments to union vendors
  • Certified Payroll Professional preferred

Knowledge, Skills, and Abilities:

  • JD Edwards, Workday and Kronos experience preferred
  • Ability to interpret and analyze union pay rules
  • Proficient in Microsoft Word and Excel
  • Must be very detail-oriented and strive for minimal errors
  • Ability to communicate, written and oral, across all levels of the organization
  • Commitment to customer service and ability to work in team-oriented environments
  • Ensure information is held in strict confidence and to the highest ethical standards
